Client Confidentiality & Privacy Policy
At Mindful Muse Wellness, your trust means everything. We are committed to creating a safe, empowering, and inspiring space for everyone who joins our sessions and events. This policy outlines how your personal information is handled and how we maintain confidentiality throughout our work together.
1. Confidentiality Commitment
All personal information shared during sessions—whether spoken, written, or observed—will be kept strictly confidential. This includes any forms you complete, topics discussed in sessions, and notes regarding your progress.
2. Use of Personal Information
Your personal information is used solely to support your wellness journey, tailor your experience, and track your progress. It will never be shared with any third party without your explicit written consent.
3. Group Session Privacy
For group sessions and workshops, confidentiality is a shared responsibility. While your facilitator commits to keeping all group discussions private, each participant is expected to respect the privacy of others.
What’s shared in the group stays in the group.
4. Legal Exceptions to Confidentiality
There are rare instances where confidentiality must be broken due to legal and safety obligations, including:
• Serious threats of harm to yourself or others
• Suspected abuse of a child, elder, or vulnerable adult
• A court order or legal subpoena
In such cases, we will do our best to inform you before any action is taken.
5. Communication & Digital Privacy
Any emails, texts, or digital messages exchanged are considered private and part of your client record. While we take every precaution to protect your information, please note that no method of digital communication is completely secure.
Media Release Policy
At Mindful Muse Wellness, we often capture the beautiful energy of our sessions and events to share with our growing community. By attending a Mindful Muse Wellness event or session, you acknowledge and agree to the following:
Permission to Record: You grant Mindful Muse Wellness and its partners permission to take photographs, video, and audio recordings of you during sessions and events.
Use of Media: These recordings may be used for promotional purposes, including but not limited to social media, website content, newsletters, marketing campaigns, and press features.
No Compensation: You understand that you will not receive monetary compensation for the use of your image, likeness, or voice.
Release of Claims: You release Mindful Muse Wellness, its team, contractors, and partners from any and all claims related to the use of these materials.
Opt-Out Option: If you prefer not to be photographed or recorded, please notify the event organizer before the session begins. We will do our best to honor your preferences.
Injury Liability Waiver
The safety and well-being of our community is a top priority at Mindful Muse Wellness. However, participation in wellness activities involves physical movement and inherent risks. By joining any session or event, you agree to the following:
Voluntary Participation: You are choosing to participate in yoga, mindfulness, or movement-based practices voluntarily.
Assumption of Risk: You understand that these practices involve physical exertion and acknowledge the possibility of injury.
Responsibility for Your Body: You affirm that you are physically fit to participate and will modify or skip movements that don’t feel safe for you. You agree to listen to your body and rest as needed.
Release of Liability: You release Mindful Muse Wellness, its instructors, affiliates, and venue partners from all liability for injuries, accidents, or damages arising from your participation.
If you have any medical concerns or limitations, please consult your healthcare provider before attending a session.
Cancellation & Refund Policy
At Mindful Muse Wellness, we value your time and commitment to your wellness journey. To ensure fairness and respect for all clients and instructors, we ask that you please review the following cancellation policy:
Private Sessions & Group Classes
Cancellations must be made at least 24 hours in advance of your scheduled session or class in order to receive a full refund.
Cancellations made less than 24 hours before the scheduled start time are non-refundable.
If you are unable to attend, you may reschedule your session or class (with at least 24 hours' notice) based on availability.
No-shows and same-day cancellations will not be refunded or credited.
We appreciate your understanding and cooperation as we strive to create a respectful and supportive experience for all participants.
